Registration Policies

Substitutions:

Substitutions are gladly accepted for the same member type. Substitutions of registrations are permitted prior to the event start date, and no later than May 1, 2025. Please submit a written request to [email protected]. Only one substitution is permitted per original registrant. The individual submitting the substitution request is responsible for all financial obligations (any balance due) associated with that substitution.

Discount Codes:

AAOM provides discount codes to facilitate registration at special rates for specific groups, including award recipients, sponsors, speakers, and staff, based on prearranged agreements. These codes are intended for the exclusive use of the designated individuals or organizations.

We kindly request that discount codes not be shared or used by unauthorized parties. If a discount code is used by someone who is not eligible, AAOM reserves the right to cancel the registration and require the registrant to re-register and pay the full registration fee. As a 501(c)(6) organization, AAOM uses discount codes to streamline the registration process and ensure proper pricing for designated groups. We appreciate your cooperation in respecting this system.

Use of a discount code is only valid at the time of the initial purchase/registration. Refunds will not be authorized for existing registrations where the special offer was received after the initial purchase. Limit one (1) special offer/discount code per registration.

Individual Registration Cancellation:
Cancellations received on or before Thursday, April 10, 2025 will receive a refund, less a $150 processing fee. Any cancellations received after Thursday, April 10, 2025 will not be refunded. All cancellations requests must be submitted in writing to [email protected].

Information and Image Policies

Conference Attendee Roster:

An attendee roster containing your name, organization, mailing address, phone number, and email address will be distributed electronically to all attendees, as well as conference exhibitors and sponsors. Per AAOM Policy, conference exhibitors and sponsors can only use this list to contact you up to two times. You may choose to opt-out of having your contact information in the Attendee Roster.

Photo/Video Release:

Registration and attendance at, or participation in, AAOM's meetings and other activities constitutes an agreement by the registrant to AAOM's use and distribution (both now and in the future) of the registrant or attendee's image or voice in photographs, videotapes, electronic reproductions, and audiotapes of such events and activities.

Health & Safety Policies

Assumption of Risk:
By registering for this event, you acknowledge the potential risks associated with in-person gatherings, including exposure to contagious illnesses. You voluntarily assume all such risks.

Health Screening:
Please monitor your health before attending. If you are unwell or recently exposed to a contagious illness, we ask that you refrain from attending. Health attestations or screenings may be required onsite.

Safety Guidelines:
All attendees must follow event safety protocols, which may include respecting personal space, practicing good hygiene, and adhering to public health and venue-specific guidelines. Non-compliance may result in removal without refund. Safety policies may change based on public health guidance or venue requirements. Updates will be communicated to registrants.
